[UKPRwire, Thu Jun 14 2007] Founded in 2002, OutSec.co.uk is recognised as one of the UK’s leading internet-based online transcription companies, providing high quality digital transcription services to a range of professional companies both in the UK and abroad. Globally based industry-specific British secretarial typists are allocated to clients with dictated sound files being submitted to the company’s sophisticated FileManager system, an award-winning programme unique to OutSec, on their website. An integrated workflow solution ensures that clients have complete access to the flow of files both from within their office or from their home PCs. This provides clients with greater flexibility in terms of where they work.

As the company’s reputation and client base grew, OutSec’s management team reviewed their internal processes and procedures relating to the handling of in-house staff and remote workers. Recognising the important role that their workforce plays in the company’s continued success, they investigated several business programmes. They chose Investors in People (IiP) because it was a business improvement framework, which provided a business toolkit with emphasis on developing the key skills and competencies of their staff.

OutSec’s Managing Director Vanessa Phillips said: “Our people are our most valuable asset and achieving the IiP Standard publicly demonstrates to our staff and clients that, in terms of future development, they are at the forefront of our company. We also wanted to show that an Internet typing company could achieve the same standard of accreditation as conventional companies. None of our competitors had the IiP Standard and we saw it as a valuable marketing asset to differentiate ourselves from others. “

OutSec worked in partnership with The Assessment Network, the Investors In People Centre for the East of England, who developed a customised business framework to improve the company’s processes, procedures and competitiveness. Over a two-month period, The Assessment Network carried out rigorous external audits of OutSec’s internal working practices, highlighting the areas where improvements could be made.

“Following the assessment we were able to put in place processes and procedures which are integral to the smooth running of the business.” commented Vanessa. “Our staff now receive the very best training and work to consistently high standards. There is now an inclusive ‘family’ feel in the company, which is vital for us to get the best from our outworkers and helps break down the isolation and detachment that many experience when working from home. Communication is key and with technological advances such as Skype, Webcam and Instant Messenger we are in a position to provide our outworkers with an excellent working environment without having to leave their houses! This lessens the carbon footprint and is an environmentally friendly way to work!“

OutSec achieved Investors in People accreditation in 2005 and the Directors have seen real benefits in terms of improved client perception of the company. Larger clients are particularly impressed, having undergone the process and knowing what is required to achieve IiP status. The Standard has also proved an attraction to potential clients, such as legal firms and others with a high media profile, who are sensitive to labour issues.

Vanessa added: “As a virtual company, communication with our outworkers is a crucial element in the business mix. Both our in-house and remote workers value the accreditation and it has undoubtedly enhanced our credibility with them. Since we gained IiP status we have seen an increase in our business growth and we are also receiving a larger number of job applications from high calibre staff and remote workers. “

Vanessa Phillips acknowledged the importance of choosing the right partner to advise and support when working towards accreditation. “We firmly believe that IiP is a valuable asset for any company that is serious about its standing amongst its competitors and its own staff. The Assessment Network has been exemplary in their goal of helping us to achieve IiP status. Once achieved the Standard enables young companies to move forward knowing that they have got one aspect of their business absolutely right. In addition The Assessment Network is constantly organising Seminars and Forums, which can be attended by all members, with a helpline open for those who cannot attend their many events held throughout the year. This back up is particularly useful and is used by OutSec as a nurturing process until renewal of the Standard next year. Gaining IiP status has undoubtedly improved the way we work.”
